Privacy Policy
The YMCA of Perth is committed to observing all the principles set down in the
Commonwealth Privacy Act (1988), in particular the Privacy Amendment (Private
Sector) Act 2000.
1.0 NATIONAL PRIVACY PRINCIPLES
Set out below is the YMCA of Perth’s response statement to the ten National
Privacy Principles (NPPs) :
NPP 1
Collection
We collect information from clients and members, participants, staff, volunteers
and visitors, solely to carry out our function as an Association providing
family and community services.
Where possible, information is collected directly from an individual. Where
information is collected from a third party, the individual will be informed
or may reasonably expect that we have been given such information. For example,
volunteers will be told, or may be reasonably expected to know, that we have
already received some information from the Volunteer Organisation.
The YMCA of Perth does not collect, use or disclose personal information about
anyone under the age of 18 unless it has the consent of a parent or legal guardian.
NPP 2
Use and Disclosure
Client and / or member information is generally used for its primary purpose
(the purpose for which it was collected). It may also be used for a closely
related secondary purpose where the client’s needs have changed or become
extended. For example, a client may provide information when joining one of
the YMCA’s programs. Later on, the client may join a different program
or be referred to a different provider – in either case some information
may be passed on.
Some information is used in a secondary manner for direct marketing, to raise
funds for the YMCA of Perth. When we use information for direct marketing,
we provide our contact with the opportunity to modify or decline any further
marketing from us.
The YMCA of Perth may use personal / health information for :

Payroll

Research and development purposes
The YMCA of Perth may disclose information to organisations / individuals
outside the organisation in order to provide the range of services and programs
offered.
Disclosure of personal and health information will be in accordance with the
National Privacy Principles.
NPP 3
Data Quality
We make all reasonable effort to ensure our information is accurate and current.
NPP 4
Data Security
We treat all information provided to us as confidential. We ensure that all
records provided to us are kept in a secure manner and are available only to
those persons authorised by the YMCA of Perth to have access to them (electronic
as well as hard copy files).
Health information will be retained for a minimum of 7 years following the
last occasion on which service was provided. Where information was collected
while the individual was a child it shall be retained until the individual
is 25 years old, or for 7 years, whichever is the greater.
NPP 5
Openness
This Privacy Statement is designed to comply with the requirement that organisations
have a freely available policy document outlining its information handling
practices.
NPP 6
Access and Correction
We will provide an individual with access to the personal information we hold
about that individual, for the purpose of reviewing and / or correcting details.
We reserve the right to take reasonable steps to confirm that the person seeking
access to the information is the person to whom the information relates, or
is otherwise entitled to access the data.
The full text of this NPP lists exceptions to this right, mainly where access
to the information may impact adversely on the individual or others. In this
event, we would consider whether the use of mutually agreed intermediaries
would allow sufficient access to meet the needs of both parties.
The request will be processed within 30 days, however, there may be a delay
while we ascertain the appropriateness of providing access to some classes
of data. It is possible that there may be a reasonable cost associated with
extracting information.
If we deem it necessary that access to information be denied, we will provide
a reason for that denial.
NPP 7
Identifiers
The YMCA of Perth may be required to collect an individual’s identifier
such as Tax File number, Medicare number of Social Security number for the
provision of services. These identifiers will only be disclosed to agencies
as required by law.
NPP 8
Anonymity
Individuals are able to act anonymously where it is practical and lawful to
do so and where doing so does not affect our provision of services. For example,
the YMCA of Perth will accept anonymous donations.
NPP 9
Transborder Data Flows
The YMCA of Perth does not transfer any personal information interstate or
overseas without the consent of the individual.
NPP 10
Sensitive Information
This covers a range of issues such as race, ethnicity, political opinions,
religious or philosophical beliefs, trade union membership, health information,
sexual inclination, criminal record, handicap and others.
The YMCA of Perth does not collect sensitive information except with the client’s
consent or where required by law. The full text of the NPP lists other circumstances
under which this information might be collected.
2.0 CONSENT
Notwithstanding the above statement, our clients and visitors hereby understand
that by acquiring or using the YMCA of Perth’s services, products or
facilities, individuals consent to the reasonable collection, use and disclosure
of personal information.
3.0 COMPLAINTS PROCEDURE
Formal complaints regarding the manner in which personal information is collected,
used, or disclosed will be handled in accordance with the YMCA Complaints
Handling Procedures.
